Administrative Assistant

Position Description:

***Maternity Leave Coverage; 8 week position***

Duties:
Answer Phones
- Answer all calls in a professional and courteous manner
- When appropriate, address the questions and concerns of callers in a warm and reassuring manner.
- Route all calls and inquiries to the most appropriate person
- Direct candidates to the most appropriate recruiter based on candidate’s experience and expertise
**Greet all visitors in a friendly and professional fashion**

Process all Client Reqs/Work Orders
- Enter new Client Reqs into CTS Database
- Update/Close existing Client Reqs when needed
- Inform employees when their contract has been extended by Client
- Manage Incoming Resumes
- Make contact with candidates who submit their resumes via fax or mail, request that they also submit an electronic copy that we can save in our database
- Process Resumes in Daxtra Candidate Capture

Daily Duties
- Receive and Route all incoming faxes
- Distribute incoming mail
- Sign for incoming packages
- Complete all Recruiting Admin follow-ups
- Process Emails in ‘Database Email Manual’ Folder
- Proved verbal verification of employment for previous and current contracted employees

Support
- Provide Administrative support for Executives and Managers
- When needed, fulfill certain time-sensitive HR duties, such as creating new contracts, scheduling drug screens for new employees, etc.

Office Upkeep
- Order kitchen and office supplies when needed
- Maintain stock of frequently used materials, e.g. paper, pens, etc.
- Keep the conference room stocked and tidy
- Process outgoing packages
- Manage unexpected situations in a calm and professional manner as they occur. This may include unscheduled visitors or difficult phone situations as well as any other unforeseeable situation.
