JOB DUTIES: The Administrative Assistant provides administrative support to all Company Stores staff and performs a wide range of tasks contributing to office organization and efficiency; performs Accounts Payable functions. Under minimal supervision, plans, schedules, and arranges own assignments. The ability to multitask and prioritize job responsibilities is critical. Must be resourceful and exercise personal initiative to perform tasks and meet the needs of the organization. Accounts Payable experience and financial acumen highly desired.
Accounts Payable/Receivable:Examine invoices and credits for accuracy against Purchase Order receiving documents; research and provide other pertinent records to substantiate accurate receipt of goods or services.Follow auditing requirements to process invoices and credits; work closely with the Company Store Finance department to ensure payments, credits and expenses are processed against the appropriate charge-lines as designated by the Finance Representative Process Procurement Card expenses for BSI managers and follow-up on document routing schedule to ensure deadlines are met.
Vendor Maintenance: Perform New Vendor Setups, establishCompany/ SSPN vendor code, issue resale certificates as requested, update complete credit applications and related sales tax exempt paperwork.
Travel: Facilitate business travel
JOB SKILLS: Knowledge of Company Policies and Procedures preferred; prefer the candidate be proficient in Company computing applications: TRIPS, EBC, SSPN, P-Card however this is not a requirement; Competency with: MS Excel, PowerPoint, Word, and Outlook is imperative, and experience with CounterPoint (POS Software) would be a plus but is not essential. Exhibits professional behavior, initiative, and flexibility; highly responsive to the needs generated by the day-to-day activities of management and the organization. Consistently identifies highly critical and less critical activities and tasks amidst a large number of competing demands; adjusts priorities when appropriate.
Ability to attend to and verify the accuracy and completeness of detailed information. This also includes the ability to identify missing or inconsistent information or data.
Responds to customers inquiries and provide feedback and solutions; makes customers and their needs a primary focus; develops and sustains productive customer relationships.
Education: Minimum High school diploma or GED ; AA degree or higher preferred
Experience: 3-4 years related work experience or equivalent combination of education and experience.
12+ months — possible extension and possible FTE opportunity.
